Privacy Policy

Leadership WestLake — cohort management platform for the Westlake Chamber of Commerce

Leadership WestLake (the “App”) is a private cohort-management tool used by the Westlake Chamber of Commerce to administer its leadership program. It is intended only for enrolled program members, planning-team volunteers, and authorized chamber staff. This policy explains what information the App collects, why, and how it is protected.

Information we collect

• Account & authentication data — your name, email address, password (stored only as a salted hash), and authentication tokens used to keep you signed in. If you enable multi-factor authentication, we store a one-time secret and backup codes.
• Profile images — an optional avatar or headshot you choose to upload.
• Program participation data — attendance records, survey responses, agenda contributions, and messages you send within the App's program threads.
• Push notification device tokens — if you enable notifications, a device token issued by Apple so we can deliver program alerts.

How we use your information

Information is used solely to operate and administer the Leadership WestLake program — to authenticate you, track attendance, collect survey feedback, coordinate program agendas, enable messaging between participants, and send program-related notifications. We do not sell your data, use it for advertising, or share it with third parties for marketing.

Who can access your information

Access is restricted to authorized chamber staff and program leadership, and is further limited by role-based permissions within the App (for example, attendance and member details are visible only to program chairs). Participants see only the information appropriate to their role.

Third-party services

• Apple Push Notification service (APNs) — used to deliver notifications when you opt in.
• Hosting provider — the App and its database run on a dedicated server operated on the Chamber's behalf.

How your information is stored and protected

Data is stored in a PostgreSQL database on a dedicated server. All traffic between the App and the server is encrypted in transit over HTTPS. Passwords are stored only as salted hashes and are never retained in plain text. Access to the underlying systems is limited to program administrators.

Data retention & deletion

We keep your information for the duration of your participation in the program and for a reasonable period afterward for program records. You may request correction or deletion of your personal data, or deletion of your account, by contacting us at the address below. Some records (such as aggregate attendance for a completed cohort) may be retained for the Chamber's program history.

Children's privacy

The App is intended for adult program participants and is not directed to children under 13. We do not knowingly collect personal information from children.

Changes to this policy

We may update this policy as the program evolves. Material changes will be reflected by an updated effective date at the top of this page.
